You can obtain a Polish criminal record certificate while living abroad. The available routes include a postal application, an online request through e-KRK, or an application through an authorized representative in Poland. Your choice should depend on the document format the receiving institution accepts.
If you need to show the absence of a criminal record to an authority in another EU country, a multilingual standard form may help you avoid a separate translation. It accompanies the Polish certificate and helps the authority understand it. It is not a replacement certificate.
The distinction matters for Polish citizens living in Ireland, Germany, the Netherlands or the UK. The first three are EU countries. A UK submission follows the receiving institution’s requirements rather than the EU public-document simplification rules described below.
Choose your application route
The National Criminal Register, or Krajowy Rejestr Karny (KRK), issues the document commonly called a Polish police clearance certificate or zaświadczenie o niekaralności.
| Route | What you receive | Check before applying |
|---|---|---|
| Post | Paper certificate | Overseas delivery address and time available |
| e-KRK | Electronic certificate | Whether the recipient accepts the original electronic file |
| Representative in Poland | Paper certificate collected on your behalf | Written authorization and arrangements for onward delivery |
For broader background, see Lex Corporation’s Poland police clearance certificate guide. This article focuses on the overseas application and multilingual-form decisions.
How to apply for a KRK certificate by post
Use the official “Zapytanie o udzielenie informacji o osobie” form. Complete and sign it, then include proof of the required payment. Follow the official KRK postal instructions, rather than an unofficial form downloaded from a commercial website.
Send your application to:
Biuro Informacyjne Krajowego Rejestru Karnego
ul. Czerniakowska 100
00-454 Warszawa
Poland
KRK also permits postal applications to its information points. Keep a copy of the documents you send and use a mailing method appropriate to your deadline.
Can KRK post the certificate abroad?
Yes. KRK’s guidance for applicants abroad says to put your name and overseas delivery address in the top-left corner of the form, or attach separate mailing instructions.
The same guidance confirms that overseas posting carries no additional postage charge. This refers to KRK’s outgoing postal delivery; it does not make the application free or include commercial courier, translation or representative services.
Check the country, postal code, building number and apartment number carefully. A clear correspondence address helps prevent avoidable delivery problems.
Can you apply online from abroad?
Yes, if you can use the required electronic signing method. The official government service instructions identify a trusted profile, or Profil Zaufany, and a qualified certificate as options for the online route.
The certificate issued through e-KRK is an electronically signed XML file. A printout is not the official electronic document. Ask the receiving institution whether it accepts that original format before choosing this route.
Do not assume that electronic issuance in Poland means automatic acceptance by every institution abroad. If a paper original is requested, choose a paper route unless the recipient confirms another acceptable option.
Can someone in Poland apply for you?
Yes. KRK allows applications through a representative appointed in writing. The traditional application guidance sets out the procedure.
Make the authorization clear about both submitting the application and collecting the certificate. Check the current requirements for the original power of attorney and any applicable stamp duty before the representative attends.
This route can be practical if the certificate needs further handling in Poland. Agree in advance who will request any additional form, arrange any necessary translation or authentication, and send the final documents to you.
What is the EU multilingual standard form?
The multilingual standard form is an official translation aid attached to a public document. It has no independent legal value: submit it with the KRK certificate.
Poland issues the KRK form for Polish citizens whose certificate confirms that their details do not appear in the criminal records file, for presentation in another EU country. See the official KRK multilingual-form instructions.
You can request it with the certificate, or afterward. For a later request, return to the issuing authority and present the certificate already issued. Specify the EU official language needed. The form has a separate application and payment requirement.
KRK lists in-person, written-representative and e-KRK request routes. If applying remotely, confirm how the form and certificate will be delivered together. Do not complete a downloaded EU specimen yourself and present it as an officially issued attachment.
Do you still need a sworn translation?
For a covered submission to another EU country’s authority, a separate translation should not be required when the multilingual form provides enough information to process the certificate. That condition matters: the form does not guarantee that every submission can proceed without additional language clarification.
The European e-Justice explanation also distinguishes public authorities from private recipients. An ordinary private employer or bank that does not act in an official or legally authorized capacity is not bound by these rules and may request a translation.
Ask the recipient:
- Are you accepting the certificate as a public authority or authorized body?
- Will the KRK certificate with its multilingual standard form meet your language requirements?
- If a translation is needed, what translator qualifications and format do you accept?
Where a separate translation is required, check the destination’s standards before ordering sworn translation services.
Is an apostille required for use in another EU country?
A covered Polish document proving the absence of a criminal record can be presented to another EU country’s authority without an apostille under Regulation (EU) 2016/1191. The exemption does not depend on purchasing a multilingual form: authentication and translation are separate issues.
The EU public-documents guidance explains this simplification. It concerns authenticity and formalities; it does not decide whether the document’s content satisfies every substantive requirement of the receiving procedure.
Check the destination, recipient and purpose before ordering an apostille. Do not automatically buy the same document package for every country.
Ireland, Germany, the Netherlands and the UK: what changes?
| Destination | Practical approach |
|---|---|
| Ireland | For a covered authority submission, check whether the multilingual form provides sufficient language support. |
| Germany | Confirm the recipient and required language; distinguish an authority’s procedure from an ordinary private employer’s request. |
| Netherlands | Check whether the recipient falls within the EU rules and accepts the proposed document format. |
| UK | Obtain the recipient’s current translation, authentication and format instructions; do not rely on the EU simplification. |
Your country of residence does not by itself determine which rules apply. For example, a Polish citizen living in the UK might need a certificate for an authority in Ireland. Focus on where and to whom the document will be submitted.
Before ordering, confirm these five details
- Recipient: Which named institution will receive the certificate?
- Purpose: Employment, licensing, immigration or another procedure?
- Format: Paper original or original electronic file?
- Language and authentication: Multilingual form, separate translation, apostille or another requirement?
- Timing: What issue-date limit and submission deadline does the recipient impose?
The deadline must allow for the full journey: application, issuance, any additional processing and delivery. KRK’s traditional-route guidance indicates issuance without undue delay within seven days, with longer handling where an explanatory procedure is needed. International transit is additional; seven days is not a guaranteed overseas arrival time.
Frequently Asked Questions (FAQ)
Can I get a KRK certificate without a trusted profile?
Yes. You can use the postal route or appoint a representative in Poland. A trusted profile is relevant to electronic signing, rather than being a requirement for every application route.
Can I submit the multilingual form on its own?
No. It is an attachment that helps the receiving authority understand the certificate. Submit both documents together.
Can I request the multilingual form after getting my certificate?
Yes. Apply to the authority that issued the certificate and present that existing document. Check its instructions before sending an original from abroad.
Should I order the certificate before checking the recipient’s rules?
Check first. A certificate in the wrong format, or issued too early for the recipient’s date requirements, can create extra work. Ask for written instructions where possible.
